START HERE Collective TC Services Overview

As a member of the RG+Co. Collective (which means you have completed the RG+Co CEO Agent—Ops course, are part of the REAL family, and have our Community membership for $97month), you have access to our exceptional TC Team, led by Jessica Venable, who is licensed in Oregon and looks forward to assisting you.

The team can assist with listings + transactions in Oregon + Washington.

We have a few caveats to make this process the best possible experience for you and your clients. Please be sure to read EVERYTHING below.

System Requirements

  1. All team members need to be Gmail users.

  2. Need to be a Dropbox user for centralized storage purposes.

  3. Need to be a Sphere user. Why? Because this allows us to be efficient and Sphere not only automatically generates a timeline for each transaction but also auto-populates all timeline dates to both your calendar and TC Services calendar.

  4. We are not able to customize emails for transactions but will provide communication with clients utilizing the RG+Co. Email Templates that you have access to via your CEO Agent Academy Courses. For quick reference, you can grab the Master Copies 👇🏻. Please note that not all of these apply to each transaction. We are always open to feedback and collaboration. We just ask that you watch the entire transaction process at least one time in full before bringing edit or change requests to us.

  5. From your CEO Agent Academy Email Template Library, please follow instructions for pulling all templates into your Drive for transactions. Those instructions can be found here. In addition, these will need to be shared with each of your team members. Instructions for that are as follows;

    -Log in to Drive.Google.com
    -Navigate to and click on the desired folder so it is highlighted
    -Scroll to the right-hand side and click the “Share” icon (person with + icon)
    -In the “Add people” box, paste in the team members’ email addresses
    -Ensure the dropdown to the right of the email has “Viewer” selected
    -Ensure the “Notify people” box was checked
    -Click “Send”
    -In the pop-up, click “Share anyway”
    -The recipient will receive an email notification

  6. TC Services requires access to your MLS account for Transactions. This can be provided either by sharing your login credentials or by creating an Assistant Subscriber account for TC Services through the MLS. The cost for an Assistant Subscriber account is $50 per quarter. The necessary form can be found here.

NOTE: The TC Services email address is CollectiveTCServices@gmail.com. All emails to all parties will come from this email address.

Sphere Set-Up Notes (Transactions Only)

All the steps outlined below must be completed before the TC Services team can provide listing + transaction services. If you would like TC Services to facilitate the initial Sphere set-up, please complete this form.

Invite CollectiveTCServices@gmail.com to Your Sphere Team + Update Permissions.

For instructions on how to do that, view the video below or follow the steps below the video. This only needs to be done once.

  • Log into Sphere

  • Click on the "Team" icon on the left-hand side

  • Click "Team Settings" on the upper right

  • Paste in the email CollectiveTCServices@gmail.com in the box

  • Press "Send Invite"

  • This should be done by anyone on your team who is utilizing Collective TC Services

  • Once the invite is accepted by Collective TC Services, select their permissions in the "Team Settings" screen

  • You should select the following:

  • Transactions - "Edit"

  • Sales Metrics - "None"

  • Contacts - "Edit"

  • Calendar - "View"

  • Notification - "View"

Adding Transaction Contract Fields

We use over 50 additional fields to process and manage listings and transactions beyond the default settings in Sphere. Many of these fields are specific to Oregon or Washington contracts. Sphere allows you to add these fields to user accounts. REMINDER: Additional fields must be added before Collective TC Services can assist with any transaction.

Each user involved in a transaction must ensure these fields are properly set up. If you or a team member need assistance with this setup, Collective TC Services can provide support for $250 per user. If you would like TC Services to facilitate the initial Sphere set-up, please complete this form.

Creating a New Transaction Checklist in Sphere

Why is this necessary? To ensure everyone can follow the listing and/or transaction's flow and monitor its progress seamlessly. The custom checklists are designed to align with the Email Templates and with the additional contract fields, creating a cohesive and efficient system for managing each step of the process.

NOTE: In Sphere, Collective TC Services will input Buyer and Seller Contribution amounts and the commission split between agents involved in the transaction. Brokers are responsible for entering company split amounts and expenses if they wish to track those details.

Cost

Transaction Services are $600 per transaction, payable upon closing of a transaction. Should a deal terminate, $300 will be invoiced upon termination. Listing Services are an additional $100 per listing paid at closing or upon expiration/termination/cancelation of the listing.
